Job Purpose
The Event & Organized Play Lead is responsible for planning, coordinating, and executing AOC’s events, tournaments, organized play programs, and community activities. The role focuses on building an active and engaged gaming community, delivering well-organized events, increasing participation and customer engagement, and creating a consistent and enjoyable experience for players.
Key Responsibilities
- Plan, coordinate, and execute AOC events, tournaments, leagues, gaming sessions, and community activities.
- Develop and maintain an organized play calendar aligned with AOC’s business and community objectives.
- Coordinate tournament schedules, registrations, player communication, pairings, rounds, results, and prize distribution.
- Ensure all events are conducted in accordance with the relevant game rules, tournament guidelines, and organized play requirements.
- Manage event logistics including venue setup, tables, equipment, registration areas, signage, prizes, and event materials.
- Act as the primary point of contact for players, participants, judges, volunteers, and event partners.
- Build and maintain strong relationships with the AOC gaming community, regular players, clubs, and relevant gaming groups.
- Encourage participation from new and existing players through engaging events, leagues, workshops, and community initiatives.
- Support the development of beginner-friendly activities to help introduce new customers to AOC games and products.
- Coordinate with the Retail, Sales, Marketing, and Operations teams to promote events and maximize participation and commercial opportunities.
- Support product launches, new game releases, promotional activities, and special events through organized play initiatives.
- Coordinate with distributors, publishers, game representatives, and external partners where required.
- Manage event registrations and maintain accurate records of attendance, participation, winners, prizes, and event performance.
- Monitor event feedback and community engagement and identify opportunities to improve the player experience.
- Ensure prizes, promotional materials, and event stock are properly controlled and distributed.
- Manage event-related budgets and ensure resources are used efficiently.
- Support the creation of event-related content, announcements, schedules, and promotional communications.
- Ensure the event area is organized, welcoming, and maintained before, during, and after each event.
- Address player queries and event-related issues professionally and escalate concerns where required.
- Identify opportunities to introduce new events, formats, leagues, and community initiatives that increase engagement and repeat visits.
- Maintain accurate event documentation and provide regular reports on participation, performance, and community activities.
- Perform other duties related to events, organized play, and AOC operations as assigned.

Qualifications & Experience
- Diploma or bachelor’s degree in Event Management, Business, Marketing, Hospitality, or a related field is preferred.
- Previous experience in event management, organized play, gaming communities, retail, or customer engagement is preferred.
- Experience coordinating tournaments, leagues, gaming events, or community programs will be an advantage.
- Strong knowledge or active interest in Trading Card Games (TCGs), board games, tabletop games, or other hobby gaming communities.
- Good computer skills and ability to maintain event schedules, registrations, and reports.
- Ability to work flexible hours, including evenings, weekends, and public events.
