Job Summary:
We are seeking a friendly, organized, and customer-oriented Receptionist to join our team. The Receptionist will be responsible for managing incoming calls, greeting visitors, coordinating appointments, and providing administrative support to various departments. This role requires excellent communication skills, strong organizational abilities, and a professional demeanor.
Responsibilities:
- Greet visitors and provide a warm welcome, ensuring a positive first impression of the company.
- Answer and direct incoming calls, take messages when necessary, and forward calls to appropriate personnel.
- Manage the reception area, ensuring it is clean, organized, and well-maintained at all times.
- Schedule appointments and meetings, coordinating with staff members.
- Assist with administrative tasks such as data entry, filing, photocopying, and document preparation.
- Handle incoming and outgoing mail, packages, and deliveries, ensuring their proper distribution to the respective departments or individuals.
- Maintain an up-to-date and accurate record of visitors, appointments, and calls, utilizing the company's electronic systems or manual logs.
- Respond to inquiries from visitors, clients, and employees, providing accurate information or directing them to the appropriate person.
- Assist with other ad-hoc tasks and projects as assigned by the management team.
Qualifications and Requirements:
• Preference will be given to candidates who hold a valid Qatar ID. Languages: English, Arabic, Hindi/Urdu
• High school or equivalent qualification.
• Previous experience as a receptionist, customer service or in a similar role is preferred. Preference: Female candidates.
• Excellent verbal and written communication skills, with friendly and professional phone and email etiquette.
Strong organizational skills, with the ability to multitask and prioritize responsibilities effectively.
• Proficiency in using office equipment such as a telephone system, printer, scanner, and photocopier.
• Proficient in using computer applications such as Microsoft Office Suite (Word, Excel, Outlook, etc.).
• Exceptional interpersonal skills and the ability to work well in a team environment.
• Professional appearance, punctuality, and a positive attitude.
• Ability to maintain confidentiality and handle sensitive information appropriately.
