Description
The Administrative Assistant will play a key role in supporting the day-to-day operations of our tour agency. This individual will assist with various administrative tasks, including scheduling, managing customer inquiries, handling bookings, and ensuring smooth communication between team members and clients. The ideal candidate will have strong organizational skills, a customer-focused attitude, and a passion for travel.
Key Responsibilities:

Customer Service & Communication:
- Answer and respond to phone calls, emails, and in-person inquiries from clients and suppliers.
- Provide information about available tours, packages, and travel services.
- Assist in handling client bookings and reservations.
- Coordinate communication between clients, tour operators, and service providers.

Scheduling & Coordination:
- Assist with the planning and scheduling of tours and itineraries.
- Coordinate logistics for group tours, including accommodations, transportation, and activities.
- Update and maintain the company calendar to ensure smooth execution of all tours.

Documentation & Record-Keeping:
- Prepare and maintain booking records, contracts, and other administrative documents.
- Ensure client information is entered accurately into the database and files are kept up-to-date.
- Assist with invoicing, receipts, and billing processes.

Support for Sales & Marketing:
- Assist with the preparation of marketing materials for promotions, including brochures, flyers, and email campaigns.
- Help with social media management and content creation.

Office Management:
- Ensure the office runs smoothly by ordering supplies, maintaining inventory, and managing office equipment.
- Handle general administrative duties, such as filing, faxing, and organizing.
- Perform any other administrative tasks as needed.
