Description
· To manage the reception area; serve visitors by greeting, welcoming, and directing them appropriately and Notify company personnel of visitor arrival.
· Answer phones, compose documents and letters, and perform other HR & Administrative tasks around the office as directed.
· Review and answer mail and inquire and determine if action is required.
· Ensure office equipment (telephone lines/ computers etc.) are functional.
· Storing and retrieving electronic and hard copy documents of the company and client.
· Distribute project-related copies to internal teams & File documents in physical and digital records
· Manage and oversee documents for the entire organization
· To maintain records and oversee document control for regulations.
· Ensure the proper documents are created and signed, that all data is accurate and that documents are stored and backed up and any retention policies are followed.
· Record and maintain employee information in the database such as new entry (new join employees), proceeding on leave, return from leave, resignation, transfers, and termination.
· Prepare leaves to report (on leave, employees proceed on leave, return leave reports), monitor leave report, and inform & send to HR supervisor leave the overdue list for necessary action.
· Ticket Issuance for Employees and smooth coordination with travel agents.
· Preparing HR Headcount monthly report for the Head of the Department.
· Prepare the memos, letters, and circulars, related to HR & Admin department.
· Collaborating with department managers to compile a consistent list of requirements for White Collar & Blue-Collar positions
· Advertise job vacancies and screen, shortlist, and interview candidates / End to End Recruitment processes.
· Maintaining a database of employees for future vacancies.
· Work closely with the partnered Recruitment agents for the Blue-Collar candidates
· Other Tasks required by the Department Head
